Aston Hall Hotel
Reservations Policy
Last updated: September 2026
1. About This Reservations Policy
This Reservations Policy applies to reservations made directly with Suon Developments Ltd trading as Aston Hall Hotel (“Aston Hall Hotel”, “we”, “us” or “our”).
It explains the terms that apply when you make a reservation for accommodation, dining, events, packages or other services provided by Aston Hall Hotel.
By making a reservation with us, you agree to the terms that apply to the particular booking you have made.
Where specific terms are provided at the time of booking, those terms will take precedence over this general Reservations Policy where there is any inconsistency.
2. Making a Reservation
Reservations may be made through our website, by telephone, by email, in person or through authorised third-party booking providers.
When making a reservation, you must provide accurate and complete information, including:
- Your name and contact details;
- The dates of your stay or booking;
- The number of guests;
- Any relevant special requirements; and
- Valid payment details where required.
A reservation is only confirmed once the booking has been successfully processed and a booking confirmation has been issued.
You should check your confirmation carefully and contact us promptly if any information is incorrect.
3. Rates and Availability
All reservations are subject to availability.
Prices displayed on our website are normally quoted in pounds sterling (£) and will include VAT where applicable.
Different rates may have different conditions, including cancellation, payment and amendment restrictions.
The price and terms applying to your reservation will be confirmed at the time of booking.
4. Payment
Payment requirements depend on the rate or package booked.
Depending on the reservation, we may:
- Require full payment at the time of booking;
- Require a deposit;
- Take payment prior to arrival; or
- Require payment on arrival or departure.
Where payment is required in advance, the reservation may not be confirmed until the payment has been successfully received.
We reserve the right to pre-authorise or charge the payment card provided in accordance with the terms of your reservation.
5. Cancellation
Cancellation terms vary according to the rate, package or service booked.
The cancellation terms applicable to your reservation will be provided during the booking process and/or on your booking confirmation.
Where a booking permits cancellation without charge, cancellation must be made before the applicable cancellation deadline.
Bookings described as non-refundable or advance purchase may not normally be cancelled or refunded, except where required by law or where we agree otherwise.
6. Amendments to Reservations
Requests to amend a reservation are subject to availability and the terms of the rate booked.
Changes may include:
- Changing the dates of a stay;
- Changing the room type;
- Changing the number of guests; or
- Adding or removing additional services.
An amendment may result in a different price being charged.
Where a reservation has been made through a third-party booking provider, amendments may need to be made directly through that provider.
7. No-Shows
If you do not arrive for a reservation and have not cancelled it in accordance with the applicable cancellation terms, the booking may be treated as a no-show.
Any applicable no-show charge will be determined by the terms of the rate or package booked.
8. Check-In and Check-Out
Standard check-in and check-out times will be provided during the booking process or in your booking confirmation.
We may require guests to provide appropriate identification and payment details when checking in.
Early check-in and late check-out may be available by prior arrangement but are subject to availability and may incur an additional charge.
9. Room Allocation
Room preferences and requests will be accommodated wherever reasonably possible but cannot be guaranteed unless specifically confirmed by the hotel.
The hotel reserves the right to allocate an alternative room of an equivalent or appropriate standard where circumstances require this.
10. Children and Additional Guests
Maximum occupancy varies between room types.
You must provide accurate information about the number and ages of guests when making your reservation.
Additional charges may apply for additional guests, children, extra beds or other services.
We reserve the right to refuse accommodation where the number of guests exceeds the permitted occupancy of the room.
11. Special Offers and Promotional Rates
Special offers and promotional rates may be subject to additional terms and conditions.
These may include:
- Specific booking periods;
- Minimum stay requirements;
- Advance payment;
- Non-refundable conditions;
- Limited availability; or
- Restrictions on amendments or cancellations.
The specific terms applicable to an offer will be displayed when the offer is booked.
12. Packages and Events
Accommodation packages, dining packages, weddings, celebrations, events and other special bookings may be subject to separate terms and conditions.
Where separate terms are provided, those terms will apply to the relevant booking in addition to this Reservations Policy.
13. Third-Party Bookings
Where you make a reservation through a third-party booking provider, that provider’s terms may also apply.
The price, cancellation terms, payment arrangements and amendment procedures may differ from bookings made directly with Aston Hall Hotel.
Where appropriate, guests should contact the third-party provider directly regarding amendments or cancellations.
14. Accessibility and Special Requirements
We aim to provide an accessible and inclusive service to all guests.
If you have accessibility requirements or other specific needs, we encourage you to contact us before making your reservation or as soon as possible afterwards.
We will make reasonable efforts to accommodate your requirements, subject to the facilities available and any applicable health and safety considerations.
Specific room types or facilities cannot be guaranteed unless expressly confirmed by the hotel.
15. Guest Conduct
Guests are expected to behave responsibly and respectfully towards hotel employees, other guests and hotel property.
We may take appropriate action where a guest’s behaviour:
- Causes a risk to people or property;
- Causes significant disturbance to other guests;
- Involves unlawful activity;
- Causes damage to hotel property; or
- Seriously affects the operation of the hotel.
Where appropriate, this may include asking a guest to leave the hotel.
Any such action will be taken in accordance with applicable law.
16. Damage to Hotel Property
Guests may be responsible for the reasonable cost of repairing or replacing hotel property that has been deliberately or negligently damaged during their stay.
We will provide details of any proposed charge where appropriate.
We will not seek to recover costs for ordinary wear and tear or damage that was not caused by the guest.
17. Special Requests
We will make reasonable efforts to accommodate special requests made during the reservation process.
Special requests are not guaranteed unless specifically confirmed by the hotel.
Examples may include:
- Specific room locations;
- Bed configurations;
- Dietary requirements;
- Celebration arrangements; or
- Early arrival or late departure.
Additional charges may apply.
18. Overbooking and Changes by the Hotel
In exceptional circumstances, it may be necessary for us to make changes to a reservation.
If we are unable to provide the accommodation or service booked, we will take reasonable steps to minimise inconvenience to the guest.
Where appropriate, we may offer suitable alternative accommodation, an alternative arrangement or a refund of amounts paid for the affected service.
Nothing in this section affects your statutory rights.
19. Personal Data
Personal information provided when making a reservation will be processed in accordance with applicable data protection legislation and our Privacy Policy.
Information may be used to:

- Communicate with you about your booking;
- Provide requested services;

We take reasonable care to ensure that information displayed on our website is accurate and up to date.
However, facilities, menus, prices, services and availability may change from time to time.
Where information provided specifically in your booking confirmation differs from general website information, the information in your booking confirmation will normally apply to your reservation.
21. Events Beyond Our Control
We will not be responsible for a failure or delay in providing services where this results from circumstances beyond our reasonable control.
This may include events such as natural disasters, serious utility failures, fire, significant infrastructure failure, government restrictions or other events that could not reasonably have been prevented.
This does not affect any rights you may have under applicable consumer law.
22. Consumer Rights
Nothing in this Reservations Policy is intended to exclude or limit any rights you have under applicable UK consumer protection legislation.
Where applicable, statutory rights relating to the provision of services, unfair contract terms and consumer protection will continue to apply.
23. Complaints
If you have a concern about a reservation or your experience at Aston Hall Hotel, please contact us as soon as reasonably possible.
We will aim to investigate and resolve complaints fairly and promptly.
24. Changes to This Policy
We may update this Reservations Policy from time to time to reflect changes to our services, booking processes, legal requirements or operational practices.
The latest version will be published on our website.
The version in force at the time of your reservation will generally apply to that reservation, subject to any subsequent legal or regulatory requirements.
25. Governing Law and Jurisdiction
This Reservations Policy is governed by the laws of England and Wales.
Subject to any mandatory consumer rights that apply, the courts of England and Wales will have jurisdiction in relation to disputes arising from or connected with a reservation.
