Terms & Conditions

Aston Hall Hotel

Terms & Conditions

Last updated: September 2026

These Terms & Conditions apply to bookings made directly with Suon Developments Ltd trading as Aston Hall Hotel (“Aston Hall Hotel”, “the Hotel”, “we”, “us” or “our”), including accommodation, dining, events and other services provided by the Hotel, unless separate booking-specific terms are provided to you.

By making a booking with us, you agree to these Terms & Conditions together with any specific terms, conditions or restrictions displayed at the time of booking.

Where booking-specific terms apply, those terms will form part of your contract with us and will take precedence over these general Terms & Conditions to the extent of any inconsistency.

2. Making a Booking

A booking becomes a confirmed booking when:

  • the Hotel has issued a booking confirmation; and
  • any required deposit, prepayment or payment guarantee has been provided.

The person making the booking is responsible for ensuring that the information provided is accurate and for ensuring that all members of their party are aware of the applicable booking terms.

The Hotel may require a valid credit or debit card to guarantee a booking and may require full or partial payment in advance for certain rates, packages, events or promotional offers.

Where a booking is made through a third-party booking platform, the terms of that booking platform may also apply.

Please refer to our reservations policy: https://www.astonhallhotel.co.uk/pages/reservation-terms-conditions/

3. Prices and VAT

All prices displayed by the Hotel include VAT where applicable at the prevailing rate, unless expressly stated otherwise.

The price applicable to your booking will be the price confirmed to you at the time the booking is made.

The Hotel will not increase the price of a confirmed booking except where:

  • a change is expressly permitted by the booking terms provided to you before the contract was concluded; or
  • the change is required as a result of a change in applicable taxes or other charges outside the reasonable control of the Hotel, where legally permissible.

If a price change is permitted and materially increases the price payable, you will be informed and, where required by law or the applicable booking terms, given the appropriate rights to cancel.

Prices and availability may vary depending on dates, room type, occupancy, demand, promotional availability and booking conditions.

4. Availability and Room Allocation

All accommodation and other services are subject to availability.

Where a particular room type, view, bed configuration or facility has been specifically booked and confirmed, the Hotel will make reasonable efforts to provide that accommodation.

Occasionally, circumstances outside the Hotel’s reasonable control may require an alternative room or arrangement. Where this occurs, the Hotel will take reasonable steps to provide a suitable alternative and will comply with any rights and remedies applicable under law.

Photographs and descriptions on the Hotel’s website are intended to provide a general representation of the Hotel and its facilities. Individual rooms may vary in layout, furnishings and décor.

5. Arrival and Departure

Bedrooms are normally available from 3.00pm on the day of arrival.

Check-out is normally by 11.00am on the day of departure.

Early check-in and late check-out may be available by prior arrangement and may incur an additional charge.

The Hotel may be unable to provide early access to a bedroom where the room is still being prepared.

Guests are responsible for leaving their room and any Hotel facilities in a reasonable condition on departure.

6. Payment

Unless otherwise agreed, the balance of your account must be settled before departure.

The Hotel accepts the payment methods displayed at the time of booking or available at the Hotel.

For security purposes, the Hotel may request a valid payment card and may obtain a reasonable pre-authorisation or deposit against the account, subject to the applicable booking terms.

A pre-authorisation is not necessarily a completed payment. It may temporarily reduce the amount available to spend on the relevant payment card.

Where a balance remains unpaid, the Hotel may seek payment from the person responsible for the booking.

For business accounts or approved credit accounts, payment is due in accordance with the agreed credit terms.

7. Cancellation, Amendment and Non-Arrival

Cancellation and amendment conditions vary according to the rate, package or service booked.

The cancellation terms applicable to your booking will be provided at the time of booking and/or in your booking confirmation.

Standard Accommodation Bookings

Unless different booking-specific terms apply, a standard guaranteed accommodation booking may normally be cancelled without charge up to 4.00pm local time on the day before arrival.

Cancellations received after this time, and non-arrivals, may be charged at the rate specified in your booking confirmation, normally equivalent to the first night’s accommodation.

Advance Purchase and Promotional Rates

Advance purchase, promotional and other specially discounted rates may be non-refundable or subject to different cancellation and amendment conditions.

These conditions will be clearly communicated before you complete the booking.

Groups, Weddings and Events

Group accommodation, weddings, private functions, meetings, Christmas events and other special bookings may be subject to separate deposit, payment, cancellation and amendment terms.

Those terms will be provided to the person making the booking before the relevant contract is concluded.

Cancellation Procedure

Where possible, cancellations should be made using the booking method specified in your confirmation.

A cancellation reference or confirmation should be retained.

Nothing in these Terms & Conditions affects any cancellation or other rights that cannot lawfully be excluded or restricted.

8. Bookings Made for a Specific Date

Certain consumer cancellation rights under the Consumer Contracts Regulations do not apply to accommodation, catering and certain leisure services where the contract provides for a specific date or period of performance.

Accordingly, a hotel accommodation booking for a specified date does not generally carry the standard 14-day cooling-off right that applies to many other distance contracts.

Any cancellation rights applying to your particular booking will be stated in the applicable booking conditions.

9. Hotel Cancellation

If the Hotel needs to cancel a confirmed booking before arrival, we will notify you as soon as reasonably practicable.

Where the Hotel cancels a booking and is unable to provide the contracted accommodation or service, we will provide any refund or other remedy required by law and, where appropriate, discuss reasonable alternative arrangements with you.

Nothing in these Terms & Conditions excludes or limits any liability or obligation that cannot legally be excluded or limited.

10. Car Parking and Vehicles

Parking is available at the Hotel subject to availability and any specific conditions displayed at the Hotel.

Unless expressly agreed otherwise, vehicles and their contents remain the responsibility of their owners.

The Hotel does not accept liability for loss of or damage to a vehicle or its contents except where liability arises as a result of the Hotel’s negligence, breach of contract, breach of statutory duty or other liability which cannot legally be excluded or limited.

Guests should not leave valuables unattended in vehicles.

11. Children and Young Guests

Children must be appropriately supervised by a responsible adult at all times while on Hotel premises.

Some events, facilities or services may have age restrictions or specific requirements. Where applicable, these will be communicated as part of the relevant booking information.

The Hotel reserves the right to apply reasonable age restrictions where necessary for safety, licensing, insurance or the suitability of a particular event.

12. Accessibility and Reasonable Adjustments

The Hotel aims to provide an accessible and welcoming environment for all guests.

Guests with accessibility requirements are encouraged to contact the Hotel before booking so that we can discuss available facilities and any reasonable adjustments that may be required.

Information about the Hotel’s accessibility arrangements is available in our Accessibility Statement.

While we will make reasonable efforts to meet accessibility requirements, particular rooms, facilities or arrangements remain subject to availability and suitability.

13. Assistance and Guide Dogs

Assistance dogs are permitted in accordance with applicable law.

Other pets are not permitted within the Hotel unless expressly agreed in advance by the Hotel. Well behaved dogs are welcome on our outdoor terraces.

Guests should contact the Hotel before arrival if they are travelling with an assistance dog so that appropriate arrangements can be discussed.

14. Guest Behaviour

Guests are expected to behave respectfully towards Hotel employees, other guests and visitors and to comply with reasonable instructions given by Hotel management.

The Hotel may take reasonable action where a guest:

  • behaves abusively, threateningly or unlawfully;
  • causes unreasonable disturbance or excessive noise;
  • damages Hotel property;
  • puts the safety of other people at risk;
  • interferes with fire, security or safety equipment;
  • engages in unlawful activity; or
  • materially breaches these Terms & Conditions.

Depending on the circumstances, the Hotel may require the person responsible to leave the premises.

Where the Hotel terminates a stay because of serious or persistent misconduct, the Hotel may refuse a refund where permitted by law and may seek recovery of reasonable losses caused by the conduct.

Nothing in this clause permits the Hotel to exercise a contractual right unfairly or disproportionately.

15. Alcohol, Food and External Purchases

Guests must comply with all applicable licensing and safety requirements.

Alcohol may only be consumed on the premises in accordance with the Hotel’s licensing conditions.

The Hotel may restrict the consumption of alcohol brought onto the premises.

Food and drink brought onto the premises for consumption may be subject to prior approval and/or a reasonable corkage or other charge.

The Hotel reserves the right to refuse external food or drink where this is necessary for food safety, licensing, allergen management or other legitimate operational reasons.

16. Smoking and Vaping

Smoking and vaping are not permitted in areas where prohibited by law or Hotel policy.

Where smoking or vaping is prohibited, guests may be responsible for reasonable additional cleaning, restoration or loss-of-use costs resulting from a breach.

Any charge will reflect the reasonable cost actually incurred rather than operate as a penalty.

17. Damage to Hotel Property

Guests are responsible for loss or damage to Hotel property caused by their deliberate, negligent or reckless actions or those of members of their party.

Where the Hotel seeks payment for damage or loss, the amount charged will be limited to the reasonable cost of repair, cleaning, replacement or other loss actually incurred, taking into account the circumstances.

Where practicable, the Hotel will contact the guest before processing a charge.

If damage or loss is discovered after departure, the Hotel may contact the guest using the contact details provided at the time of booking and may seek payment of the reasonable amount due.

Nothing in this clause permits charges for normal wear and tear or ordinary use of Hotel facilities.

18. Removal of Hotel Property

Hotel property must not be removed without permission.

If an item is removed without permission and is not returned, the Hotel may seek the reasonable cost of replacing the item, including reasonable delivery costs.

The Hotel will not impose an arbitrary penalty for removal of property.

Where appropriate, the guest will be contacted before a payment card is charged.

19. Fire and Safety Equipment

Guests must not interfere with, disable or misuse fire alarms, detectors, extinguishers, emergency exits, fire doors or other safety equipment.

Any deliberate or reckless interference may result in the guest being required to leave the premises and may be reported to the appropriate authorities where necessary.

Where the Hotel incurs a reasonable and evidenced cost as a direct result of deliberate or reckless interference, the Hotel may seek recovery of that cost.

20. Third-Party Services

The Hotel may use third-party suppliers to provide certain services or facilities.

Where the Hotel contracts with a third party on your behalf, the Hotel will take reasonable care in selecting and instructing that supplier.

Nothing in these Terms & Conditions excludes or limits any responsibility the Hotel has to you under applicable law.

Where a separate contract exists directly between you and a third-party supplier, the terms of that supplier’s contract may also apply.

21. Events, Weddings and Private Functions

Separate terms may apply to weddings, conferences, private functions, Christmas events, celebrations and other organised events.

These may include specific provisions covering:

  • deposits;
  • payment schedules;
  • cancellation;
  • minimum numbers;
  • final numbers;
  • menu choices;
  • room hire;
  • entertainment;
  • external suppliers;
  • decoration;
  • licensing;
  • damage;
  • access times;
  • set-up and collection; and
  • security.

The relevant event-specific terms will be provided to the organiser before the contract is concluded.

Where the Hotel agrees to use an external supplier nominated by the Client, the Client remains responsible for ensuring that the supplier complies with the Hotel’s reasonable requirements, unless otherwise agreed.

22. Special Requests and Dietary Requirements

The Hotel will make reasonable efforts to accommodate special requests notified before arrival.

Requests cannot be guaranteed unless expressly confirmed by the Hotel.

Guests must notify the Hotel of food allergies or dietary requirements as early as possible.

Although reasonable precautions will be taken, the Hotel cannot guarantee an allergen-free environment because food may be prepared in areas where other allergens are present.

23. Lost Property

Property found on the Hotel premises will be dealt with in accordance with the Hotel’s lost property procedures.

Guests should contact the Hotel as soon as possible if they believe they have left an item behind.

Where an item is returned by post or courier, the guest may be responsible for the reasonable cost of postage or delivery.

24. Internet and Wi-Fi

Where Wi-Fi or other internet facilities are provided, they are supplied subject to availability.

The Hotel does not guarantee uninterrupted availability or a particular connection speed.

Guests must not use Hotel internet facilities:

  • for unlawful purposes;
  • to infringe the rights of others;
  • to access or distribute unlawful material;
  • to compromise the security of networks or devices; or
  • for fraudulent or malicious activity.

The Hotel may restrict or suspend access where necessary to protect its network, other users or its legitimate interests.

25. Personal Information and Data Protection

The Hotel processes personal information in accordance with applicable data protection law, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, as applicable.

Personal information may be processed for purposes including:

  • taking and administering bookings;
  • providing accommodation and other services;
  • processing payments;
  • communicating with guests;
  • complying with legal and regulatory obligations;
  • maintaining safety and security; and
  • improving our services where there is a lawful basis for doing so.

Where necessary to provide a service, information may be shared with relevant service providers, booking platforms, payment providers and other organisations acting on our behalf, subject to applicable data protection requirements.

Our full approach to personal information is set out in our Privacy Policy.

Nothing in these Terms & Conditions constitutes consent to marketing communications where separate consent or another lawful basis is required.

Guests may unsubscribe from marketing communications at any time.

26. Telephone Calls

Telephone calls to or from the Hotel may be recorded or monitored for purposes such as training, quality assurance, security and dispute resolution, where permitted by law.

Where required, appropriate information about call recording will be provided.

27. Complaints

We want to resolve any concerns as quickly as possible.

Guests should raise any issue with a member of the Hotel management team during their stay or as soon as reasonably practicable after the issue arises, so that we have a reasonable opportunity to investigate and, where appropriate, put matters right.

Complaints may also be submitted to:

Nothing in this clause prevents a consumer from exercising any statutory rights or pursuing any other lawful remedy.

28. Liability

Nothing in these Terms & Conditions excludes or limits liability where it would be unlawful to do so.

This includes liability for:

  • death or personal injury caused by negligence;
  • fraud or fraudulent misrepresentation;
  • breach of statutory rights that cannot legally be excluded;
  • defective products where liability cannot legally be excluded; or
  • any other liability that cannot legally be excluded or limited.

Subject to the above, the Hotel will only be responsible for losses that are reasonably foreseeable and arise directly from a breach of the Hotel’s obligations.

The Hotel will not normally be responsible for losses that were not reasonably foreseeable at the time the contract was made, subject always to applicable consumer law.

Where a guest is acting as a consumer, nothing in these Terms & Conditions is intended to deprive that guest of rights or remedies available under the Consumer Rights Act 2015 or other applicable legislation.

29. Events Beyond Our Reasonable Control

The Hotel will not be responsible for a failure or delay in performing its obligations where that failure or delay results from circumstances beyond its reasonable control.

Such circumstances may include, where relevant:

  • natural disasters;
  • fire;
  • flood;
  • serious utility failure;
  • epidemic or pandemic restrictions;
  • industrial action;
  • war or terrorism;
  • civil unrest;
  • government restrictions;
  • major transport disruption; or
  • other circumstances which could not reasonably have been prevented or overcome.

Where such circumstances affect a confirmed booking, the Hotel will take reasonable steps to minimise their impact and will communicate with affected guests as soon as reasonably practicable.

This clause does not remove any rights or remedies that apply under mandatory consumer or travel legislation.

30. Package Travel and Combined Services

Where the Hotel sells or arranges a combination of travel services that falls within the legal definition of a package under the Package Travel and Linked Travel Arrangements Regulations 2018, the applicable statutory requirements will apply.

Additional information and terms may therefore be provided for bookings that constitute a package.

A standard hotel accommodation booking does not automatically constitute a package.

Where another business is the organiser or retailer of a package that includes accommodation at Aston Hall Hotel, the terms and responsibilities of that organiser or retailer may also apply.

31. Website Information

We take reasonable care to ensure that information published on our website is accurate and current.

However, photographs, descriptions, menus, facilities, event information, opening hours and other details may occasionally change.

Where a specific feature or service is important to your booking, we recommend confirming the relevant details with the Hotel before arrival.

Nothing in this clause permits the Hotel to disregard information that formed part of a legally binding contract or to exclude liability for inaccurate information where the law does not permit such exclusion.

32. Changes to These Terms & Conditions

We may update these Terms & Conditions from time to time.

The version applicable to your booking will normally be the version provided or made available to you when your booking was made, unless a change is required by law or agreed with you.

Changes made after a booking has been confirmed will not retrospectively remove or reduce contractual rights that you have already acquired.

33. Assignment

You may not transfer a booking to another person where the booking conditions or the nature of the service do not permit this.

Where applicable law gives you a right to transfer a booking, the Hotel will comply with that right subject to any lawful conditions.

The Hotel may transfer or subcontract aspects of its obligations where reasonably necessary to operate the Hotel, provided that this does not materially reduce the rights or protections available to the guest.

34. Governing Law and Jurisdiction

These Terms & Conditions are governed by the law of England and Wales.

If you are a consumer, you will also benefit from any mandatory protections provided by the law of the part of the United Kingdom in which you live where those protections cannot lawfully be excluded.

Nothing in these Terms & Conditions prevents a consumer from bringing proceedings in a court that has jurisdiction under applicable law.

35. Statutory Rights

Nothing in these Terms & Conditions affects your statutory rights as a consumer.

Where a term in these Terms & Conditions conflicts with a mandatory requirement of applicable law, the relevant legal requirement will prevail.

36. Entire Agreement

These Terms & Conditions, together with the booking confirmation and any booking-specific terms supplied to you, form the contractual terms applicable to your booking.

Nothing in this clause excludes liability for fraud or fraudulent misrepresentation.
